GAME4 Privacy Policy

1) Scope

This policy explains how we collect, use, disclose, and protect personal information when you visit our websites, use our apps and coaching tools, communicate with us, or see our ads. It applies to information handled by us and our service providers in Canada and abroad under our instructions.

2) What we collect

• Account & profile data: name, email, password, organization/role, sport, and preferences.
• Team/roster data (if you add it): names, positions/roles, contact info you choose to store.
• Content you create: drills, practice plans, documents, comments, uploads.
• Transactions: subscription details and limited billing metadata (our processors handle card data).
• Usage/technical data: device/browser info, pages viewed, app events, approximate location, cookie IDs, and similar analytics signals (via Google Analytics) and advertising signals (via Google AdSense).

3) Why we collect it (identifying purposes)

We use personal information to:

• provide, secure, troubleshoot, and improve GAME4;
• set up and manage accounts and subscriptions;
• respond to support requests and send service notices;
• run analytics to understand site/app performance; and
• show ads and measure their performance on our sites.

We identify these purposes at or before collection and limit collection to what's necessary.

4) Our legal basis (consent & permitted uses)

We rely on consent (e.g., when you sign up, add team info, or accept non-essential cookies) and on uses permitted by law (e.g., fraud prevention, compliance). You may withdraw consent at any time, subject to legal/contractual limits.

5) Cookies, Analytics (GA4) & Advertising (AdSense)

• We use cookies and similar technologies for core site/app functionality, analytics (Google Analytics 4) and advertising (Google AdSense).
• AdSense disclosure: Third-party vendors, including Google, use cookies to serve ads based on a user's previous visits to this and other sites. Google's advertising cookies enable Google and its partners to serve ads based on your visit to our sites and/or other sites on the Internet.

Your choices:

• Manage Google ad personalisation in Google Ads Settings.
• Use the Google Analytics Opt-out Browser Add-on if you do not want analytics measured in your browser.
• Opt out of interest-based ads with industry tools (e.g., YourAdChoices in Canada).

Regional consent: We obtain consent for non-essential cookies where required (e.g., Quebec, EEA/UK). In regions that require it, non-essential cookies (analytics/ads) are set only after consent.

6) When we share information

We share personal information with:

• Service providers (hosting, analytics, payments, email, support) under contracts that limit use to our instructions and require safeguards; and
• as required by law (e.g., to address security, legal requests, or protect rights).

Transfers for processing may occur within or outside Canada; we remain accountable and require a comparable level of protection by contract.

7) International transfers

Your information may be stored/processed in Canada, the United States, or other countries where our service providers operate. Contractual safeguards apply, but foreign laws may permit access by courts or authorities. We remain responsible for your information.

8) Retention

We retain personal information only as long as needed for the purposes above and to meet legal obligations, then delete or de-identify it. Analytics data retention settings (e.g., GA4) are configured to minimize the period we keep user-level data.

9) AI model improvement & anonymized data

We may use anonymized information derived from content you upload (for example, drill diagrams, plans, and usage logs) to develop and improve GAME4 features, including machine-learning models. "Anonymized" means we process the information using generally accepted techniques so it cannot reasonably be linked to an identifiable individual, and we do not attempt to re-identify it. Where required by law (e.g., Quebec), we follow applicable anonymization rules and keep any required records of the process. We may use service providers to perform this processing on our behalf, including outside Canada; we remain responsible and require a comparable level of protection by contract. We do not sell personal information.

Organization choice: If you are an organization admin and prefer that we do not use anonymized data derived from your workspace to improve our models, contact us at support@game4.app to opt out. (This will not affect use of anonymized data for safety, security, or service integrity.)

Minors: If you upload athlete information (including minors), you confirm you have the authority and any required permissions/consents to provide that information to us for the stated purposes. In Quebec, individuals under 14 generally require parental/guardian consent.

10) Automated decisions

GAME4's AI features do not make decisions with legal or similarly significant effects about you without human involvement. If this changes, we will provide a clear notice describing the decision logic, your rights, and how to request human review (including where required by Quebec Law 25).

11) Security

We use administrative, technical, and physical safeguards proportional to the sensitivity of the information to protect against loss, theft, and unauthorized access, disclosure, or misuse.

12) Your rights

Under Canadian privacy law (including PIPEDA), you can:

• access your personal information,
• request corrections, and
• challenge our compliance.

Contact us (Section 18). If we can't resolve your concern, you can contact the Office of the Privacy Commissioner of Canada (OPC) to report a concern.

13) Email & SMS marketing (CASL)

We only send commercial electronic messages with required consent, identification information, and an unsubscribe mechanism in every message. You can unsubscribe at any time.

14) Children & teams

GAME4 is designed for coaches and organizations. If you upload information about athletes—including minors—you confirm you have the authority and any required permissions/consents to provide that information to us for the stated purposes.

15) Breaches & incident response

If a breach of security safeguards creates a real risk of significant harm, we will notify affected individuals and the appropriate regulator(s) and keep breach records as required by law.

16) Third-party links and services

Our services may link to third-party sites or integrate third-party content (e.g., embedded media). Those parties' privacy practices are their own.

17) Changes to this policy

We may update this policy. We'll post the new version with a new effective date. Material changes will be highlighted or communicated where required.
